Sigma Inc is currently looking for an Administrative Assistant to work onsite with our team located in Malden, MA.
Hours : 7.5hours/day, 37.5 hours per week.

Description :
The OSFA Administrative Assistant will provide support services to staff at the Office of Student Financial Assistance. The Administrative Assistant assist with all aspects of management of State student financial aid programs and related initiatives.

Roles and Responsibilities:
The Administrative Assistant will work specifically with program managers on the Future or Work initiative, to include the document disposition and document retention process. This position will also support the Department of Higher Education's efforts to align its financial aid programs with the agency's Equity Agenda, including the Strategic Plan for Racial Equity and the Framework for Support Services for Student Success.

The Office of Student Financial Assistance is a division of the Department of Higher Education. This office has oversight of state funded financial aid programs, including audit and compliance process. Receiving over 300,000 FAFSA applications annually, the office oversees over $186 million state appropriated resources for variety of programs and manages a plethora of tuition waivers that account for over $65 million in financial resources for students to attend college. Working with this framework, this position will support the work of the staff in providing information about financial resources and services to Massachusetts students (and families) who attend over three hundred colleges and universities in Massachusetts and other reciprocal states.

Essential Job Functions :


  • Assist with dissemination of office correspondence, including opening and sorting of all incoming mail. Assist with large volume mail projects
  • Assist with the document disposition and retention project by reviewing, scanning and shredding of documents as requested
  • Using answering call system, provide accurate and detailed information
  • Utilize Microsoft applications for data entry and for developing spreadsheets
  • Provide support for specific projects related to the DHE Equity Agenda and other DHE/OSFA priorities related to Workforce Development initiatives
  • Support the staff in other endeavors, such as contributing to statewide training workshops and other office-wide efforts, to ensure OSFA continues to maintain an environment that promotes integrity and quality in the delivery of its services.


    All work will be performed on-site at the office located at 75 Pleasant Street, 3rd Fl, Malden, MA

    Requirements


    • Bachelor's degree preferred
    • Minimum of two - three years of administrative experience

      • Has command of technology (i.e. Microsoft Office Applications) and proficient with the internet and appropriate electronic tools for research, data analysis and program evaluation
      • Is highly organized and possess excellent communication skills, and an ability to make oral presentations, as required
      • Is results-oriented and assumes responsibility and accountability for own work; responds appropriately to internal and/or external requests for assistance, demonstrates initiative, flexibility, and an ability to successfully engage in multiple tasks, as assigned
